Automation and practical AI for growing businesses

Find the busywork. Switch on the automation.

SmoothRun AI maps where your team loses time to manual admin, then builds automation on the tools you already use. You see it work on your own examples first, and a person approves anything that matters.

01What we do

Find it. Fix it. Keep it running.

Buyers don’t need more AI. They need invoices chased, calls returned and orders entered once. That is the work we take on.
  1. 01 · Find

We map where the time goes.

Short interviews and walk-throughs of real work. You get a process map and a ranked list of what to automate, what to fix by hand, and what to leave alone.

  2. 02 · Fix

We build it on the tools you already use.

Automations and AI workflows connected to your email, CRM, accounting and spreadsheets. They start in draft mode, so nothing goes out without a person approving it.

  3. 03 · Keep running

    We stay accountable after launch.

Error alerts, a simple run log, plain-English hand-over notes and training, so your team understands the system and is never stuck with a black box.

02What we automate

A few examples, and plenty more.

These are examples, not the full menu. We have more automations ready to adapt and build custom ones around your tools, wording and the way your business runs. Each example has a demo you can click through, running on sample data.

03See it run

Don’t take our word for it. Try the demos.

Each demo runs entirely in your browser on fictional data. Nothing is sent anywhere, and every simulated step is labelled as one.

04How we work

Four steps, each with something to show for it.

You never pay for a stage without receiving a concrete deliverable at the end of it.
  1. 01

    Discover

Understand the business and its workflows.

Conversations with the people who do the work, a look at your tools and data, and a clear statement of the problem worth solving.

    You receive

    Discovery summary

Goals, constraints, current process and what success looks like, in writing.

  2. 02

    Design

Define the solution and success criteria.

Page designs, workflow diagrams or a system outline you can review before anything is built, with agreed measures of success.

    You receive

    Solution design & scope

Designs or architecture, fixed scope, timeline and fee.

  3. 03

    Build

    Implement, integrate and test.

We build in small, reviewable stages and test against real examples, with people approving anything consequential.

    You receive

    Working system & test log

The website or workflow, documented tests and hand-over notes.

  4. 04

    Improve

    Measure performance and refine.

We compare results against the baseline measured at the start, fix what is not working and decide what is worth doing next.

    You receive

    Performance review

Measured results against baseline and a short list of next steps.

05Services

Specific services, clearly scoped.

Not sure which one fits? Most clients start with a conversation or an Operational Audit.

06Selected work

Work you can open and click through.

These show how we approach real problems, from the first conversation to a working system. They run on fictional data so you can explore them freely.

How we earn trust

Straightforward, by design.

We show our work instead of asking for blind trust. You can click through working demos, and we put these commitments in writing.

  • 01

    Proof over promises

Our demos run in front of you. Portfolio work is labelled as concept, prototype or client work, so you always know which is which.

  • 02

    Clear deliverables

Every engagement has a written scope listing what you receive, what we need from you and what is out of scope.

  • 03

    Documented testing

Automations are tested against real examples before launch, and the results are written down so you can review them.

  • 04

    Data minimisation

We ask for the least access needed, prefer read-only connections and avoid copying sensitive data where we can.

  • 05

    People approve what matters

Anything consequential, such as an external reply, a payment or an access change, waits for a person to approve it.

  • 06

    Honest about limits

We tell you when AI is not the right tool, and we do not quote savings before measuring how the work is done today.

07 · Questions

Straight answers.

Something else on your mind? Ask it on a discovery call.

How much does a project cost?

It depends on scope, so we quote a fixed fee after a discovery call rather than publishing a price list. Websites and automations are priced per project. The Operational Audit is a fixed-fee engagement and is often the best way to find out what is worth building before committing to more.

How long does it take?

Timelines are set during the Design stage, once scope is clear. Smaller websites and single automations move faster than multi-system work. We work in stages, so you see working progress early rather than waiting for one big reveal.

Which tools can you integrate with?

Most modern business tools with an API or export: Google Workspace, Microsoft 365, Slack, Teams, common CRMs, accounting and helpdesk tools, and spreadsheets. If a system has no way in, we will tell you during discovery rather than after.

Will you need access to our data?

Only what the work needs, and we agree that in writing first. We prefer read-only access, dedicated service accounts and anonymised samples during design. You keep ownership of your accounts and can revoke access at any time.

Does the AI send emails or make changes on its own?

Not by default. Consequential actions such as external replies, record changes or payments wait for a person to approve them. Automatic steps are limited to low-risk, reversible tasks you have agreed to.

What happens after launch?

You receive documentation and a hand-over session. Ongoing support, monitoring and improvements are available as an optional arrangement, agreed separately. You are never locked in.

Tell us what keeps eating your week.

A discovery call is 30 minutes on what you want to fix. No pitch deck, no obligation. If automation is not the answer, we will say so.
